Present: The Rev. This meeting was held at The Episcopal Church of Our Saviour, Little Falls, Minnesota
- Those present introduced themselves, and shared their thoughts and feelings about the venture in total ministry.
- Rev. Gillespie announced that St. John's, St. Cloud, will be voting at this month's vestry about whether or not they will become part of the total ministry team. They have been asked to contribute some of their pastor's time and the use of their copy machine, as their investment in the team.
- At this time, Rev. Gillespie will be providing supply to Grace, Royalton, 2 Sundays/month. Grace will be asked if they wish to participate in the team.
- The process of moving to Total Ministry was discussed at some length, working from a tentative outline and time-frame provided by Rev. Gillespie. The outline is attached to these minutes. Several points to be noted are:
- Discussion was held about Diocesan Grant possibilities for start up monies for such possible areas as training materials and resources; communications equipment; mileage costs; printing equipment. It was noted that it will be essential to have up-to-date technology with regard to communication needs, given the geographical distances involved in the region.
- Lengthy discussion was held regarding the development of an accountable executive body who has the authority to make decisions. The following were agreed upon by those present, and each church representative will take them back to their vestries for discussion and feedback:
- There was discussion regarding evangelism: promotion, awareness, publicity, communication. A newsletter for the Spirit of the Heartland with individual parish pages and a large distribution was proposed. There was discussion about a logo and name:
- Rev. Gillespie noted that she will be looking for lay people to team with her during various parts of the formation process.
- Handling of financial issues was discussed. Rev. Gillespie noted that payment for her salary should be an easy process involving one automatic debit from St. Stephan's and Our Saviour's bank accounts each month. The process for Good Samaritan will be somewhat different.
- There was discussion about formation during the beginning process. Each parish will have adult education at least once per month. Several other ideas were discussed.
The meeting was concluded with prayer.

--Lay ministers from interested Region III parishes form a group making up two complete teams (14 to 24 people)
--Ministry team members function at all churches (including St. John's, St. Cloud) as needed.
--Each team member commits to averaging at least one unit/week ministry-time & never more than two units /week average. A "unit" is a morning, afternoon, or evening; approximately 3-4 1/2 hours.
--At least one unit/month average (included in the above average) will be "on the road" at a parish other than their home one. (Ministers are offered travel mileage from a joint regional total ministry fund.)
--Ministers gather monthly for team support and prayer.
Formation and Training for lay adult team ministers includes:
--annual retreat for bonding & reflection
--EFM -- 4 years, Sept to May (inclusive); followed by an ongoing formation group
Every other week, 4 hour sessions with two EFM groups meeting;
could do occasional "make up" classes as needed with other group
(Or an individually tailored specific equivalent)
--participation in regular monthly gathering for formation, support and prayer
(probably associated with one of the regular EFM meetings)
--summer practicum in individual ministry area planned with pastor/mentor
--individual training as appropriate to individual ministry formation
(e.g., pastoral care or liturgy classes/workshops or one on one training)
--diocesan safe church training for everyone
NOTES:
(1) Some ministers may be prepared to serve in their ministry before completing the 4-year EFM program.
(2) Although EFM is the preferred preparation, there may be an alternative for some ministries. It would be similarly time/money consuming, though perhaps completed in sooner.
Additional special ministers preparation:
-- youth & young adult team: twice yearly gatherings (retreat)
-- kid/family team: twice yearly gatherings (picnic/potluck)
NOTES:
(1) These ministers commit to worshiping with another participating congregation at least 6 times/year.
(2) They may go to the same "other church" or move around.
(3) Could be given "passports" to be stamped (fun & motivation for young folks)
